BOOKING AN EVENT

We have a talented events team ready to answer all of your questions about hosting an event at the Natural Capital Center. Find out who to contact

BILLY FRANK, JR. CONFERENCE CENTER

Our rates include the 1,800-square-foot space, a venue coordinator to work with you on logistics, onsite security the day of your event, the setup and tear-down of our in-house furniture, a comprehensive audiovisual system, a list of sustainable caterers to choose from, and other modern amenities.

Monday – Sunday, 7 am – 1 am

Amenities available to rent from Ecotrust

(Rental includes setup and tear-down)

  • Dining tables: Fifteen 60″ round tables, $10 each
  • Bistro tables: Eight 36″ diameter standing tables, $10 each
  • Wood event chairs: 150 folding wood chairs in a rich mahogany stain, $3 each
  • Oak dance floor: $350–$550 (depending on size)
  • LED Uplights: Six wireless uplights can be set to a variety of colors, $40 each
  • Market string lights running the length of the BFJCC, $150
  • Phone conferencing system: The Nexia Teleconferencing System is fully integrated into the Billy Frank, Jr. Conference Center sound system. A combination of four lavaliere microphones and four table microphones gives groups superior phone conferencing abilities. Remote participants are heard in the conference room over the six ceiling-mounted high fidelity speakers. $125 setup/rental fee. $45 per hour for in-room audio support throughout your event.

Additional items (think linens, table settings, candles, twinkle lights and lanterns) may be rented from an outside vendor. Please make arrangements through your caterer or with a rental company directly.

ROOFTOP TERRACE

Our rates include the 2,240-square-foot space featuring an outdoor fireplace, four picnic table-and-bench sets made from repurposed wood, a venue coordinator to work with you on logistics, onsite security the day of your event, a limited sound system, and a list of sustainable caterers to choose from.

Monday – Friday, 5 pm – 11 pm (Events must end by 10 pm. Setup cannot occur prior to 5 pm)
Saturday – Sunday, 7 am – 11 pm (Events must end by 10 pm)

Sound

The Rooftop Terrace rental includes the use of our sound system with indoor and outdoor speakers. MP3 players may be connected, and DJs and bands are welcome. However, all amplified sound above 65 dB requires a noise variance from the City of Portland. All outdoor sound must end by 10 pm.

Smoking

We ask that you join us in upholding our indoor air quality standards by not smoking on the Rooftop Terrace.

WEDDINGS

Our rates include beautiful and flexible spaces, a venue coordinator to work with you on logistics, onsite security the day of your event, a comprehensive audiovisual system, and other modern amenities. Our rate structure is dependent on season and day of the week. Our venues require a four-hour minimum. Additionally, we require a refundable $750 security deposit and general liability insurance. Call us to learn more and book your wedding, rehearsal dinner or reception!

Catering

We offer a curated list of Portland’s most sustainable caterers for you to choose from. All wedding-related events must contract with one of the full service caterers. Please contact the caterers directly to discuss menus, pricing, and contracts.

COMMUNITY GRANTS

Ecotrust’s Community Grants offer nonprofits with limited means the opportunity to use our event spaces, free of cost. We see mutual benefit: We want to help you accomplish your goals, and we want you to bring excitement to our event spaces. We partner with groups of all sizes to share the creativity and drive that make our community great. Ecotrust is committed to creating a vibrant building that promotes equity and honors diversity. We see this as an opportunity to hear the voices of underserved sectors of our region and provide a gathering place for meaningful exchanges.

Award Amount and Parameters

Community Grant recipients will be awarded a one-day venue rental in the Natural Capital Center. Awards will cover the cost of the rental, which includes our standard amenities and services (see above). Awards will not cover additional expenses that may be incurred as a result of holding your event at the Natural Capital Center. This may include, but is not limited to, catering fees and outside equipment rental fees.

How we select grant recipients:

We have an open application cycle that spans each calendar year. Proposals for the 2016 Community Grants are accepted throughout the year for events occurring before December 31, 2016. For your application to be considered, your materials must be submitted at least four weeks prior to your proposed event date. Ecotrust will respond to all inquiries within ten business days of receipt. At any time during the year, we may reach our maximum award amount and close the grant process for the remainder of the year.

Preference will go to proposals for events that are:

  • Mission-driven and invest in the community in a positive way
  • Planned by or directly benefiting a local nonprofit organization
  • Inclusive of a diverse sector of participants and target audience
  • Hosted by organizations that would otherwise be unable to afford the cost of venue fees
  • A good logistical fit for Ecotrust’s Billy Frank, Jr. Conference Center and/or Rooftop Terrace

Additional consideration will be given for:

  • Events that are open to the public
  • Events that are free or charge a nominal fee
  • Events that are unabashedly hopeful in nature
  • Events that have a solid marketing and community outreach plan

Please note that Ecotrust offers an exclusive catering list. Ecotrust allows self-catered events when specific purchasing and logistical guidelines are met, but all events within our space that include a hired caterer must select from our list. Review these options prior to submitting your application, and base your budget on actual pricing estimates. Awardees that provide their own alcoholic beverages will need to provide OLCC-licensed servers and liquor liability insurance. Please inquire for additional information.

Awards are granted for the specific date (or range of dates) contained in the proposal. Any change to the date of the event will require a re-evaluation, and may result in the loss of the grant.

The Community Grant program cannot accommodate weekend rentals (Fridays from 5 pm through Sundays).

If your organization receives a grant in 2016, you will be eligible for another grant in 2018.
